JOB DESCRIPTION:

Duty stations for this position include Kong and Exist.

Conduct between 15 and 20 household surveys daily to gather essential data for analysis and reporting.

Potential clients can be identified by analyzing survey results to uncover promising leads. This process involves evaluating the data to pinpoint individuals or organizations that align with the target market or exhibit relevant characteristics.

To delineate the designated workspace for the proposed teams, ensuring clear boundaries and organizational structure.

Engage in focused conversations with designated individuals in smaller group settings to better understand their perspectives and needs.

A team of five members will be assembled.

A designated leader will be chosen for every small group to facilitate coordination and leadership.

To establish and lead a substantial management committee, the successful candidate will be responsible for assembling and overseeing a diverse group of stakeholders to ensure cohesive decision-making and strategic alignment. This role requires strong leadership skills to guide committee discussions, facilitate collaboration among members, and maintain accountability for achieving shared objectives. The committee’s primary focus will include policy development, resource allocation, and performance monitoring to drive organizational success. Candidates should demonstrate experience in group dynamics, consensus-building, and governance frameworks to effectively manage this critical leadership body.

A two-week orientation program will be provided for members of large groups to ensure comprehensive onboarding and alignment with organizational standards.

Collect membership fees from members in accordance with the guidelines outlined in the BRAD Ghana circular.

Enter admission data for group members using mobile phones or tablets, ensuring information is synchronized whenever feasible.

Schedule appointments, arrange meeting times, and confirm locations to ensure seamless coordination among all participants.

A team comprising no fewer than 15 members will be formed for Microfinance (MF) initiatives, with a minimum of 10 members required for Agra-Finance projects. Each group must also adhere to an upper limit of 30 members for MF and 20 members for Agra-Finance.

Admit new members when a group’s size diminishes due to departures or other circumstances to ensure optimal participation and engagement.

Conduct between two and three group meetings daily.

The meeting schedule includes a first session at 8:30 AM, a second at 9:30 AM, and a third at 10:30 AM, though these times may be adjusted according to office hours.

Arrive at the designated meeting location no later than 15 minutes prior to the scheduled start time of the group meeting.

Arrange the group members in a U-shape configuration, tailored to the designated small groups, to facilitate effective interaction and collaboration.

Oversee the recording of attendance in the register to ensure accurate documentation of daily participation.

Collect weekly installment deposits from designated small group leaders via the assigned small group cashiers, ensuring that each transaction is documented with a signature captured on a mobile device.

Return to the office by 1:30 PM following the conclusion of the group meetings.

Cash received from group meetings held in proximity to a branch must be deposited at that branch prior to traveling to any additional meetings, as this measure significantly mitigates the risk of theft or robbery.

Staff members must adhere to established safety and security protocols when handling and transporting monetary assets to ensure the protection of both personnel and funds.

Ensure that members’ loan proposals are reviewed and deliberated upon during the scheduled group meetings.

Loan proposals are evaluated by accepting them through verbal votes conducted in the presence of all group members.

The credit officer is responsible for accurately inputting all loan-related information into the digital system, including loan applications and guarantor details extracted from DP Notes.

After verifying loan applications, the incumbent is tasked with determining and finalizing the disbursement date before promptly notifying the concerned members of the approved schedule.

You must be physically present on the disbursement day to engage in the disbursement activities and ensure the smooth execution of the process.

The credit officer is required to actively participate in weekly, bi-weekly, or monthly group meetings, with the primary responsibility of ensuring the full recovery of all loan installments.

Cash receipts must be promptly forwarded to the Branch Accountant for deposit, with the corresponding transaction recorded in the Daily Cash Report (DCR), which should then be signed as confirmation of the transaction.

In the event that any installment payment is not made during the morning group meeting, promptly follow up by conducting house visits to borrowers or small group leaders in the afternoon to collect the outstanding amount.

Collect overdue and NBL installments during the afternoon, in addition to managing current delinquencies.

To reclaim previously written-off loans for clients seeking to re-engage with BRAD, initiate the recovery process accordingly.

Attend the weekly staff meetings to stay informed and contribute to team discussions.

Prepare daily, weekly, and monthly reports to ensure comprehensive data tracking and analysis.

Adhere to BRAD Human Resources Policies and Procedures with diligence and consistency.

Demonstrates the ability to promptly and effectively complete any additional tasks assigned by senior leadership.

Always uphold the Microfinance staff Code of Conduct and engage with clients with the utmost respect.

Dedicate effort to delivering outstanding service quality to clients, whether they are interacting in the field or within the branch environment.

Listen attentively to clients’ complaints, concerns, and opinions, ensuring each is fully understood before taking decisive, appropriate action to resolve issues effectively.

To cultivate a robust safeguarding culture at every level of the institution, this role will be responsible for the implementation of the safeguarding policy.

Serve as a primary resource for safeguarding expertise, offering essential support and guidance to foster a secure and compliant working environment.

To guarantee team members receive proper training, support, and access to necessary resources, the incumbent will address and implement actions in line with the safeguarding policy and procedure.

Adhere to established safeguarding reporting protocols whenever a notifiable incident occurs, and actively encourage colleagues to follow the same procedures.

Skills required include proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), exceptional written and verbal communication abilities, strong organizational skills, and the capacity to multitask effectively in a fast-paced environment. Candidates must demonstrate meticulous attention to detail, the ability to work collaboratively within a team, and a proactive approach to problem-solving. Prior experience in project coordination or administrative support, along with a track record of meeting deadlines, is highly desirable. Familiarity with basic accounting principles and data management software is a plus. The ideal candidate will possess excellent time management skills and the capability to prioritize tasks while maintaining a high standard of accuracy.

Applicants must possess at least a Senior High School Certificate, specifically the West African Senior School Certificate Examination (WASSCE).
