JOB DESCRIPTION:
This position entails supervising day-to-day accounting functions and handling financial transactions with precision. In collaboration with the Country Director, the Finance and Administration Officer maintains transparency and fairness in procurement activities, ensuring adherence to Spark’s procurement and financial regulations. Additionally, the role manages office administration, strategic planning, logistical coordination, and the execution of other essential tasks to support Spark leadership in Ghana. Ideal candidates will demonstrate a strong history of excellence in financial management and administrative oversight.
We seek a highly motivated Finance professional to oversee financial planning, analysis, and reporting responsibilities. The ideal candidate will possess strong analytical and problem-solving skills, with meticulous attention to detail and a commitment to accuracy. Qualified applicants must have a bachelor’s degree in Finance, Accounting, Economics, or a related field, along with at least three years of progressive experience in financial management or accounting roles. Proficiency in financial software, advanced Excel skills, and a solid understanding of GAAP are essential. Additionally, the ability to interpret financial data, develop strategic recommendations, and communicate findings to stakeholders is required. This position involves preparing financial statements, managing budgets, ensuring compliance with regulatory standards, and collaborating with cross-functional teams to support organizational decision-making.
Administrative and logistical duties are carried out to ensure smooth operations, including managing schedules, coordinating resources, and maintaining accurate records. Oversee banking and accounting functions, which encompass daily bookkeeping, cash reconciliation, and bank correspondence, specifically for operations in Ghana.
Oversee the monthly financial close process and perform detailed account reconciliations to ensure accuracy and compliance with accounting standards.
Engage in both internal and external audit processes to ensure compliance with established standards and regulatory requirements.
Facilitate the annual planning and budgeting process by coordinating resources, analyzing financial data, and ensuring alignment with organizational objectives.
Prepare cash flow projections to ensure adequate and timely availability of funds for both routine operational needs and strategic program initiatives.
Receive and evaluate regular financial progress reports submitted by Partners, subsequently undertaking appropriate measures to address performance-related matters.
Deliver training sessions for Partner staff and offer capacity-building initiatives to enhance their abilities in planning, implementing, monitoring, and reporting on received funds.
The incumbent will supervise the day-to-day administrative operations of Spark in Ghana.
Assist in facilitating the seamless integration of new employees by coordinating the setup of their workspaces and ensuring they have access to all essential resources.
Coordinate the logistical arrangements for all program-related initiatives, ensuring the efficient transportation and lodging of staff and stakeholders.
Oversee the procurement, tracking, and replenishment of office supplies and program materials to maintain optimal inventory levels and prevent shortages.
Oversee the deployment and upkeep of office technology assets—including computers, printers, and phones—to ensure consistent functionality and accessibility whenever required.
Ensure that office facilities are maintained in accordance with all health and safety regulations, addressing any operational or structural issues promptly to uphold a secure and compliant work environment.
Oversee the entire procurement lifecycle, beginning with the identification of requirements and culminating in the acquisition of necessary supplies and services.
Ensure procurement activities are executed with transparency, fully adhering to Spark’s established procurement policies and financial regulations.
• Engage in contract discussions with suppliers to secure favorable pricing and ensure prompt receipt of products and services.
Develop and nurture partnerships with suppliers and service providers, guaranteeing their adherence to the office’s specified requirements and quality benchmarks.
Prepare and process invoices with precision, guaranteeing timely payments in strict adherence to contractual obligations.
