To assemble a comprehensive executive committee, you will be responsible for establishing a sizable leadership group comprising key stakeholders from various departments. This committee will serve as the central decision-making body, overseeing strategic initiatives and ensuring alignment with organizational goals. Your role will involve identifying and engaging appropriate members, defining clear roles and responsibilities, and fostering collaboration to drive effective governance and operational excellence.
Conduct a comprehensive two-week orientation program tailored for members of large groups.
Collect membership fees from participants in accordance with the directives outlined in the BRAD Ghana circular.
Input data for each group member into the mobile device or tablet, ensuring regular synchronization whenever feasible.
Schedule meetings by coordinating dates, times, and venues to ensure optimal attendance and adherence to organizational priorities.
To assemble a group, ensure a minimum of 15 members for Microfinance (MF) and 10 members for Agra-Finance, while adhering to a maximum of 30 members for MF and 20 members for Agra-Finance.
Upon the reduction of a group’s size due to member withdrawals or other circumstances, this role is responsible for welcoming and integrating new participants to ensure the group’s continued viability and cohesion.
Facilitate two to three collaborative group sessions daily.
• The meetings will take place at the following times: 8:30 AM, 9:30 AM, and 10:30 AM, with the schedule subject to adjustment based on office hours.
Arrive at the designated meeting location no less than fifteen minutes prior to the scheduled start time of the gathering.
• Organize team members into a U-shape formation, aligning them by small groups.
Responsible for accurately recording and maintaining student attendance in the official register, ensuring all entries are complete and up-to-date.
Engage in comprehensive consultations to address inquiries regarding loan applications as well as other relevant financial concerns.
Collect weekly installment deposits from designated small group leaders via the assigned small group cashiers, ensuring signatures are obtained on mobile devices for verification.
Returning to the office is required by 1:30 PM following the conclusion of the group meetings.
Cash received during group meetings conducted in proximity to a branch must be deposited at the branch prior to traveling to any subsequent meeting to mitigate the risk of theft.
Staff members must adhere strictly to established safety and security protocols when handling and transporting monetary funds.
Review all members’ loan proposals to ensure they are thoroughly discussed during group meetings.
Loan proposals are evaluated and approved through collective verbal voting in the presence of all group members.
A credit officer is responsible for systematically inputting all pertinent loan information—including application details and guarantor data sourced from DP Notes—into the digital system.
After confirming the accuracy of loan applications, determine and finalize the disbursement date, then promptly communicate this information to all relevant members.
Be physically present on the scheduled disbursement day to actively engage in the disbursement activities.
The credit officer is expected to participate in weekly, bi-weekly, or monthly group meetings and must guarantee the complete collection of all loan installments.
Cash receipts must be promptly submitted to the Branch Accountant, who is responsible for recording the deposited amount in the Daily Cash Report (DCR) and verifying the transaction with their signature.
Ensure prompt collection of any missed installments from the morning group meeting by conducting afternoon visits to the residences of borrowers or small group leaders.
In the afternoon, commence the process of gathering overdue payments, including late installments and those not yet billed (NBL), while also addressing any current outstanding balances.
Initiate the recovery process for loans that were previously written off should a former client seek to re-establish their relationship with BRAD.
• Attendance at the weekly staff meetings is required.
Compile daily, weekly, and monthly reports to provide comprehensive data summaries and insights for stakeholders.
Adhere strictly to all policies and procedures outlined by the BRAD Human Resources department.
• Perform additional duties as assigned by senior management in a timely and effective manner.
Maintain strict adherence to the Microfinance staff Code of Conduct and ensure all interactions with clients are conducted with the utmost respect.
