Brief Job Description

The incumbent will be tasked with ensuring seamless communication both internally and externally, serving as a liaison between the institution and its stakeholders. This role entails managing incoming calls by providing prompt responses and directing inquiries to the appropriate personnel, coordinating and maintaining schedules for meetings, and offering administrative support to staff as needed.

Full-time contractual employment is the designated arrangement for this position.

Provides receptionist support by managing the front desk, greeting visitors, and handling incoming calls, ensuring a professional and welcoming environment. Responsible for directing inquiries to appropriate staff, maintaining visitor logs, and coordinating meeting room bookings. Maintains office supplies inventory, organizes mail distribution, and assists with administrative tasks as needed. Demonstrates strong communication skills, proficiency in office software, and the ability to multitask in a fast-paced setting.

Proficiently manage and respond to inquiries received through both telephone and electronic correspondence, ensuring prompt, accurate, and courteous communication with clients or stakeholders.

Maintain an organized and up-to-date record-keeping system for files, contacts, and the employee directory.

Draft correspondence, reports, memoranda, and meeting minutes with precision and clarity.

Responsible for managing office equipment and supplies, as well as processing requisitions to ensure adequate inventory levels are maintained.

Help coordinate staff schedules, appointments, and daily operational duties in collaboration with team members.

Organize and disseminate messages, memoranda, and other written communications efficiently and in a timely manner.

Maintains departmental files and records in an organized, accurate, and up-to-date manner to ensure compliance with internal and regulatory standards.

Support the preparation of presentations and reports by contributing content, data analysis, and visual elements as needed.

Organize conference calls and document detailed notes and action items throughout meetings.

Execute various administrative duties such as organizing and maintaining files, as well as duplicating documents via photocopying.
