The incumbent will be tasked with managing internal and external communications for the institution. Key responsibilities involve handling incoming calls, redirecting them as necessary, organizing meetings, and offering administrative assistance to colleagues.
Full-time contract employment is being offered for this position.
• Duration: One (1) year (renewable)
The role involves managing front-desk operations, including greeting visitors, directing calls, and handling administrative tasks. Responsibilities include maintaining office correspondence, scheduling appointments, and providing exceptional customer service. Additionally, the position requires proficiency in office software, strong organizational skills, and the ability to multitask efficiently. Excellent communication and interpersonal abilities are essential to ensure smooth daily operations.
• Respond to inquiries received through both phone and email channels.
• Oversee and update the organization’s filing system to ensure accurate record-keeping of documents, contacts, and employee directories, maintaining data integrity and accessibility.
• Prepare letters, reports, memoranda, meeting minutes etc.
Responsibilities include managing office equipment and supplies, as well as submitting requisitions to ensure timely inventory replenishment.
Assist team members by coordinating schedules, managing appointments, and handling daily operational tasks to ensure smooth workflow and efficiency.
Organize and circulate correspondence, including messages and memos.
Responsible for the organization and upkeep of all departmental files and records, ensuring accuracy, completeness, and compliance with relevant regulations and internal policies.
Contribute to the preparation and delivery of presentations and the compilation of reports.
Conference calls should be arranged, and meeting notes and minutes must be documented throughout the sessions.
• Perform administrative tasks, including filing and photocopying.
Conduct additional tasks as delegated by KHRC as required.
REQUIRED SKILLS:

You must hold a Bachelor’s degree in Secretaryship and Management Studies, or an equivalent qualification, from an accredited and reputable institution.
• A minimum of three years of professional clerical experience is required for this role.
Proficient in utilizing widely used software applications, such as those in the Microsoft Office Suite.
