Brief Job Description

The incumbent will be tasked with managing internal and external communications, handling and directing incoming phone calls, coordinating meetings, and assisting other staff members as needed.

We are seeking a full-time contract position with a commitment of 40 hours per week for the duration of the assignment, providing a stable and consistent work schedule.

The position is offered for a fixed term of one (1) year, with the possibility of renewal based on performance and organizational needs.

The role encompasses all receptionist duties, including greeting visitors, managing incoming calls, and providing administrative support. Additionally, the candidate will handle appointment scheduling, maintain accurate records, and ensure the front desk area remains organized and professional. Strong communication skills and a customer-focused approach are essential for effectively addressing inquiries and directing visitors to the appropriate personnel. Proficiency in office software and the ability to multitask in a fast-paced environment are also required.

Handle incoming inquiries received through both telephone and electronic mail channels with professionalism and efficiency.

Maintain an organized record-keeping system to manage files, contacts, and the employee directory efficiently.

Craft professional correspondence, including letters, reports, memoranda, and meeting minutes, with precision and clarity.

Responsibilities include managing office equipment and supplies, as well as processing requisitions to ensure inventory levels are maintained.

Support staff in organizing and managing schedules, appointments, and routine operational duties.

• Manage the preparation, sorting, and dissemination of correspondence, including messages and memos, to ensure timely delivery to the appropriate recipients.

Responsible for organizing, updating, and safeguarding all departmental files and records to ensure accuracy, accessibility, and compliance with organizational policies and regulatory standards.

Provide support in the preparation and development of presentations and reports.

Organize conference calls and document discussions by recording minutes and messages during meetings.

Execute various administrative duties, such as organizing documents, duplicating materials, and maintaining efficient office operations.

• Execute any additional responsibilities as designated by KHRC.

REQUIRED SKILLS:

• Holds a Bachelor’s degree in Secretaryship and Management Studies from an accredited and reputable institution.

• 3 years of clerical experience

Proficient in utilizing commonly used software applications, such as those included in the Microsoft Office Suite.

• Ability to work independently.

Conducted oneself in a polished and professional manner at all times, ensuring adherence to the highest standards of business etiquette and demeanor.

• Exceptional written and verbal communication skills.

• Proven ability to manage and prioritize a dynamic calendar of activities effectively.

Proven ability to collaborate effectively within multidisciplinary teams to achieve shared objectives.
