The incumbent will facilitate internal and external communications, ensuring seamless information flow within and beyond the organization. Key responsibilities involve managing incoming calls by promptly responding to inquiries or directing them to the appropriate personnel, coordinating meeting schedules, and offering administrative assistance to other staff members as needed.

We are seeking a qualified individual for a full-time contractual position.

The position involves performing receptionist duties, such as greeting visitors, handling incoming calls, and directing them to the appropriate departments or personnel. Additionally, the role requires managing front desk operations, including maintaining visitor logs, distributing mail and packages, and ensuring a welcoming environment for guests. Strong organizational skills, proficiency in office software, and excellent communication abilities are essential for this role. Candidates should also demonstrate a professional demeanor, attention to detail, and the capacity to multitask efficiently in a fast-paced setting.

Respond to inquiries received through telephone and electronic correspondence promptly and professionally, ensuring all questions are addressed with accuracy and clarity.

Maintains an organized and accurate record-keeping system to efficiently manage files, contacts, and the employee directory.

Draft correspondence, reports, memoranda, and official meeting minutes, among other written materials, as required.

Responsibilities include managing office equipment and supplies, as well as processing requisitions to maintain adequate inventory levels.

Provide support to team members in organizing schedules, managing appointments, and overseeing daily operational duties.

Oversee the collection, preparation, and timely dissemination of all correspondence, including messages, memos, and related communications, ensuring accuracy and adherence to established protocols.

Responsible for organizing and preserving departmental files and records to ensure accuracy, accessibility, and compliance with organizational policies.

Prepare supporting materials for presentations and compile data for reports.

Facilitate the coordination of conference calls and document key discussion points, decisions, and action items throughout meetings.

Conduct a variety of administrative duties, such as organizing and maintaining records, as well as producing copies of essential documents through photocopying services.

Execute any additional responsibilities delegated by KHRC as required.

Required expertise encompasses strong analytical capabilities, exceptional organizational talents, and a keen attention to detail. Proficiency in relevant software applications, including advanced spreadsheet functions and data visualization tools, is essential. Candidates must demonstrate excellent verbal and written communication skills to convey complex information clearly. The ability to manage multiple priorities while maintaining accuracy and efficiency is crucial. A solid understanding of industry regulations and compliance standards is also necessary. Prior experience in a similar role, ideally within a fast-paced environment, is preferred to ensure immediate contributions to the team.

A Bachelor’s degree in Secretaryship and Management Studies from an accredited, recognized institution is required.

With a minimum of three years of clerical work experience, the ideal candidate will possess a solid foundation in administrative duties and office operations.

Proficient in utilizing widely used software applications, including but not limited to the Microsoft Suite.
