Job Summary

The Administrator will be responsible for managing the daily administrative and operational functions of the IT firm and training center. This position demands an individual with exceptional organizational skills and meticulous attention to detail, who can effectively handle office administration, scheduling, petty cash management, basic accounting duties, student coordination, and contribute to business development efforts. The successful candidate must demonstrate initiative, a strong professional demeanor, a customer-centric approach, and the ability to thrive in a dynamic, high-pressure setting.

Oversee a range of critical duties encompassing strategic planning, operational execution, and performance evaluation to ensure organizational objectives are achieved efficiently. Develop and implement policies, procedures, and systems that enhance productivity, compliance, and innovation across departments. Lead cross-functional teams through clear communication, delegation, and mentorship to foster collaboration and professional growth. Monitor key performance indicators (KPIs) and metrics to assess progress, identify areas for improvement, and drive data-informed decision-making. Serve as a liaison between senior leadership and operational staff to align business strategies with day-to-day activities. Manage stakeholder relationships, including clients, vendors, and internal partners, to maintain strong partnerships and meet contractual obligations. Oversee the day-to-day administrative functions of the office to maintain optimal operational efficiency and workflow productivity.

Maintain organized and accurate filing systems to manage both company and student records efficiently.

Responsibilities include managing emails, phone communications, and client inquiries, as well as handling all incoming and outgoing correspondence.

Prepare official documentation, including reports, memos, and letters, ensuring accuracy and adherence to established formatting standards.

Secure and maintain sufficient inventory of office supplies and operational materials to support seamless daily operations.

Oversee the organization and execution of office maintenance initiatives alongside the provision of administrative support services.

Classes, training sessions, examinations, and practical activities will be organized and coordinated to ensure smooth and efficient delivery.

The role involves organizing and managing trainers, students, and training materials to ensure seamless delivery of educational programs.

Responsibilities include tracking attendance records and managing training schedules to ensure accuracy and adherence to established protocols.

Maintain training environments in a well-structured and organized manner to foster optimal learning conditions.

Provide support for the facilitation of student enrollment and registration procedures.

Oversee petty cash operations while ensuring meticulous documentation of all financial transactions.

Process payments from students and clients, and provide them with official receipts in accordance with established procedures.

Compile regular financial summaries on a daily, weekly, and monthly basis to provide clear and concise insights into financial performance.

Provide support for various banking functions such as processing deposits and performing reconciliation tasks.

Provide assistance to the finance team by managing essential accounting documentation and maintaining accurate financial records.

Schedule and coordinate both internal and external meetings, ensuring efficient planning and execution.

Prepare meeting agendas, compile detailed minutes, and manage follow-up action items to ensure productive outcomes.

• Oversee and synchronize departmental operations and project schedules to ensure efficient workflow and timely completion of tasks.

Assist leadership in developing and implementing operational strategies and activities.

Assist in cultivating a pipeline of prospective students by identifying and pursuing high-quality leads, then guiding them through the enrollment process to secure their commitment to the institution.

Assist in the planning, execution, and optimization of marketing initiatives, outreach activities, and customer engagement strategies to enhance brand visibility and loyalty.

Contribute to the attainment of student enrollment objectives and the expansion of business growth targets.
