JOB DESCRIPTION:

This position is tasked with supervising day-to-day accounting functions and overseeing financial transactions. Collaborating directly with the Country Director, the Finance and Administration Officer ensures procurement of goods and services is conducted with transparency and fairness, fully adhering to Spark’s procurement and financial policies. Additionally, the role provides oversight for office administration, strategic planning, logistical coordination, and the execution of other essential responsibilities to support Spark’s leadership in Ghana. We seek highly qualified candidates who possess a demonstrated history of successfully managing financial and administrative operations.

Finance professionals oversee the management of an organization’s financial resources, ensuring compliance with regulations and optimizing fiscal performance. They prepare and analyze financial statements, budget forecasts, and reports guiding strategic decision-making. Responsibilities include monitoring cash flow, managing investments, and mitigating financial risks through data-driven insights. Strong analytical skills and proficiency in financial software are essential, along with a solid understanding of accounting principles and regulatory frameworks. A bachelor’s degree in finance, accounting, economics, or a related field is typically required, with additional certifications such as CFA or CPA preferred. Handles administrative tasks and oversees logistical operations to ensure seamless workflow and resource availability. Oversee the bank’s financial operations in Ghana, encompassing daily bookkeeping, cash reconciliation, and correspondence management.

Oversee the monthly financial closing process and ensure all account reconciliations are completed accurately and on schedule.

Engage in both internal and external audit processes to ensure compliance with established standards and regulations.

Provide assistance throughout the yearly planning and budgeting initiatives.

Compile cash flow projections to guarantee adequate and timely funding for routine operations and strategic initiatives.

Receive and evaluate routine financial progress reports submitted by Partners, subsequently undertaking appropriate measures to address performance-related concerns.

Deliver comprehensive training sessions to Partner staff while enhancing their capabilities in planning, implementation, monitoring, and reporting on allocated funds.

Overseeing the daily administrative procedures of Spark in Ghana constitutes a core responsibility of the role, ensuring seamless and efficient operations within the organization’s local office. This includes managing workflows, coordinating administrative tasks, and maintaining organizational systems to support the team’s productivity and compliance with established protocols.

Assist in facilitating the integration of new hires by coordinating the preparation of their workstations and ensuring they receive all essential tools and materials required to commence their roles seamlessly.

• Manage the logistical arrangements for all program activities, encompassing the transportation and accommodation of staff and stakeholders.

Oversee the procurement and maintenance of office supplies and program materials, guaranteeing sufficient inventory levels at all times to support uninterrupted operations.

Oversee the allocation and upkeep of office equipment, including computers, printers, and phones, to ensure optimal functionality and accessibility as required.

Responsibilities include managing the upkeep of office facilities while ensuring adherence to health and safety standards.

Oversee the entire procurement lifecycle, beginning with the identification of requirements and culminating in the acquisition of necessary supplies and services.
