JOB DESCRIPTION:
This position is tasked with managing day-to-day accounting functions and financial transaction processing. Collaborating closely with the Country Director, the Finance and Administration Officer upholds transparent and equitable procurement practices for goods and services, fully adhering to Spark’s established procurement and financial policies. Additionally, the role provides oversight for office administration, strategic planning, logistical coordination, and the execution of other essential responsibilities to support Spark’s leadership in Ghana. Responsible for overseeing financial operations, managing budgets, and ensuring compliance with regulations, the Finance team plays a critical role in maintaining the organization’s fiscal health. This role entails analyzing financial data, preparing reports, and providing strategic insights to support decision-making processes. Key responsibilities include tracking revenue and expenditures, optimizing financial performance, and collaborating with cross-functional teams to achieve organizational goals. Candidates must possess strong analytical skills, proficiency in financial software, and a solid understanding of accounting principles. A bachelor’s degree in finance, accounting, or a related field is required, along with relevant certifications such as CPA or CFA being advantageous. Prior experience in financial management or analysis is highly preferred.
Overseeing administrative operations and managing logistical processes are essential responsibilities of this role, ensuring seamless coordination of resources, documentation, and workflows to support organizational efficiency. Oversee the banking and accounting functions, encompassing daily bookkeeping tasks, cash reconciliation procedures, and bank-related correspondence management for the Ghana office.
Oversee the monthly financial close process and ensure all account reconciliations are completed accurately and on schedule.
Engage in both internal and external audit processes to evaluate compliance, identify risks, and ensure adherence to established standards and regulatory requirements.
Assist with the yearly planning and budgeting initiatives to ensure alignment with organizational objectives and financial targets.
Prepare cash flow forecasts to ensure adequate and timely availability of funds for both daily operations and strategic program initiatives.
Periodic financial progress reports from partners will be received and reviewed, with all pertinent performance-related actions promptly executed.
Deliver structured training sessions for Partner personnel, focusing on capacity-building initiatives designed to enhance their ability to plan, execute, monitor, and report on funds received.
Oversee the day-to-day administrative operations of Spark in Ghana to ensure seamless execution and alignment with organizational standards.
• Support new hires during their integration by configuring workstations and ensuring access to essential tools and materials.
Coordinate the planning and execution of logistical arrangements for all program-related initiatives, encompassing the transportation and lodging of staff and stakeholders.
Oversee the inventory of office supplies and program materials to ensure sufficient stock levels are consistently maintained.
Oversee the provision and upkeep of office equipment, including computers, printers, and phones, to guarantee their functionality and accessibility whenever required.
Ensure the upkeep of office facilities while adhering to all health and safety regulations.
Oversee the end-to-end procurement workflow, beginning with the identification of requirements and culminating in the acquisition of necessary supplies and services.
• Ensure that procurement activities are conducted transparently and in line with Spark’s procurement policies and financial regulations.
• Engage in contract negotiations with vendors to secure advantageous pricing while ensuring prompt delivery of goods and services.
Cultivate and sustain productive partnerships with suppliers and service providers, verifying that all deliverables align with the office’s established quality benchmarks and operational needs.
Prepare and process invoices with precision, verifying that all payments are settled punctually and in full compliance with contractual obligations.
