JOB DESCRIPTION:

• Duty Station : Konongo and Ejisu

Convene with 15 to 20 residential households daily to administer comprehensive surveys.

Determine prospective clients by analyzing survey data to pinpoint individuals or organizations likely to benefit from the offered solutions.

The assigned task involves clearly defining the boundaries of the work zone for designated teams.

Facilitate focused discussions with key stakeholders in smaller, more intimate group settings.

A dedicated team of five individuals will be assembled, fostering collaborative dynamics and collective problem-solving.

A designated individual will be chosen to serve as the leader for each small group, ensuring effective coordination and guidance within the team.

To establish and lead a comprehensive group management committee, comprising key stakeholders and department heads, with the responsibility of overseeing strategic initiatives, ensuring alignment with organizational goals, and fostering cross-departmental collaboration to drive collective performance and sustainable growth.

Conduct a comprehensive two-week orientation program tailored for large group participants.

• Members are required to remit their admission fees in accordance with the BRAD Ghana circular.

Enter group members’ admission information using a mobile phone or tablet device, ensuring timely synchronization of data whenever feasible.

• Arrange meeting dates, times, and locations in accordance with organizational needs and attendee availability.

Form dynamic teams consisting of no fewer than 15 members for Microfinance (MF) or 10 members for Agra-Finance, while ensuring no group exceeds 30 members for MF or 20 members for Agra-Finance.

We welcome new members to join existing groups whenever the number of participants declines due to attrition or other circumstances.

Convene two or three group meetings daily to facilitate collaboration and progress toward objectives.

• Timetable for conducting meetings :1st meeting at 08:30am ,2nd meeting at 09:30 am 3rd meeting at 10:30am (it could be changed based upon office time)

Arrive at the designated meeting location fifteen minutes prior to the scheduled start time of the group meeting.

• Arrange the group members to sit in a U-shape according to small groups

Attend to the registration of students by marking their presence in the attendance register as required.

• Discuss general issues about loans and any other issues

• Collect weekly installment deposits from small group leaders through the respective small group cashiers, and collect signatures on mobile device

Return from the office-based group meetings no later than 1:30 PM.

• Cash received from group meetings near a branch should be deposited at the branch before proceeding to another group meeting (To avoid robbery risk)

Employees must adhere to established safety and security protocols when handling and transporting monetary assets.

Review all loan proposals submitted by members to verify they are thoroughly examined during group meetings.

Evaluate and process loan applications based on collective verbal voting conducted in meetings with all group members present.

A credit officer is responsible for accurately inputting all loan-related information—including loan applications and guarantor details from DP Notes—into the digital system.

After confirming the details of loan applications, establish the disbursement date and notify the members promptly.

You must be physically present on the scheduled disbursement day to actively engage in the disbursement activities.

The credit officer is required to participate in weekly, bi-weekly, or monthly group meetings and must ensure the full recovery of all loan installments.

Cash receipts must be promptly turned over to the Branch Accountant, who is responsible for accurately recording the deposited amount in the Daily Cash Report (DCR) and obtaining the required signature confirmation.

Missed installments during the morning group meeting should be promptly followed up in the afternoon via home visits to borrowers or small group leaders to ensure timely collection.

In the afternoon, commence the process of collecting any outstanding late payments and NBL installments, as well as current overdue amounts.

• Initiate the recovery of loans for written-off client’s, should they wish to come back to BRAC as clients

You are required to attend the weekly staff meetings as scheduled.

Daily, weekly, and monthly reports are generated to ensure accurate and timely documentation of key metrics and performance indicators. This responsibility involves compiling, analyzing, and presenting data in a clear, structured format to support decision-making processes across the organization.

Adhere to all established HR policies and procedures as outlined by BRAD, ensuring compliance with organizational guidelines and regulatory standards throughout all processes.

Demonstrates the ability to promptly and effectively handle additional tasks or directives assigned by senior leadership.

Employees must consistently uphold the Microfinance staff’s Code of Conduct while ensuring all client interactions reflect the utmost professionalism and respect.

Dedicate efforts to delivering exceptional client service both on-site and within the branch environment.

• Listen to clients’ complaints/concerns/opinions carefully and take appropriate measures.

To cultivate a comprehensive safeguarding culture throughout every tier of the organization, this role will enforce and embed the safeguarding policy across all departments and leadership levels.

Serve as a primary resource for safeguarding guidance and expertise, ensuring the creation of a secure working environment.

The incumbent is tasked with overseeing the professional development and support of team members, ensuring they receive sufficient training and necessary resources. They must facilitate awareness and action on identified issues in strict adherence to safeguarding policies and established procedures.

In the event of any reportable incident occurring, it is essential to adhere to the safeguarding reporting procedure and promote its use among colleagues.

REQUIRED SKILLS:

A high school diploma or its equivalent, such as WASSCE, is required.

Responsibilities include preparing cash requisitions, generating cash certificates, and conducting bank reconciliation statements for cash and bank transactions.

Proficiency in utilizing Microsoft Word and Microsoft Excel applications is required.

A minimum of one year of hands-on experience within the microfinance or broader financial services sector is required.

Demonstrated proficiency in Microsoft Word and Microsoft Excel is required.

Demonstrates exceptional proficiency in conveying information clearly and persuasively, both verbally and in writing, ensuring alignment and understanding among team members and stakeholders.

Proficient in crafting and delivering reports and written communications in English.
